1. Who we are

Uhibbu Vietnam (“we”, “us”, “our”) is a private tour operator and visa concierge based in Hanoi, Vietnam, arranging bespoke Vietnam itineraries and assisting travelers with Vietnam e-visa applications. This policy explains what personal data we collect through uhibbuvietnam.com, why we collect it, and how we handle it.

2. Information we collect

• Contact form: your name, email address, phone number, subject, and message.
• Visa application: nationality, planned entry date, visa type, processing speed, your email and WhatsApp number, and for each traveler: full name, passport number, passport expiry date, nationality, a photo of the passport information page, a portrait photo, and any notes you add.
• Payment: when you pay online for a visa application, our payment partner 9Pay processes the payment amount and a booking reference. We don’t receive or store your card details; 9Pay handles that directly.
• Automatically collected: your browser’s language preference, used only to remember which language version of the site you’re reading, and standard technical data your browser sends to any website (such as IP address and browser type), used for basic security and site operation.

3. How we use your information

• To respond to enquiries submitted through our contact form.
• To prepare and file your Vietnam e-visa application with the relevant Vietnamese authorities on your behalf.
• To plan, confirm, and operate the private tours you book with us.
• To process payment for the visa service and government fees.
• To send you booking confirmations, application status updates, and related service communications by email or WhatsApp.

4. Who we share it with

• The Vietnam Immigration Department, as required to submit and process your e-visa application.
• 9Pay, our payment processor, to process online payments. They receive only the payment amount and a reference, not your passport details.
• Drivers, guides, and local partners we work with to deliver the tour you’ve booked, limited to what they need, such as your name and itinerary.
• Google, via Google Analytics and Search Console, which receives anonymized website usage data to help us understand site traffic. See our Cookies section for details.
• We do not sell your personal data, and we do not share it with advertisers or marketing companies.

5. International transfer

We are based in Vietnam, and your information is stored and processed there. If you are contacting us from another country, including the UAE, Saudi Arabia, or elsewhere in the Gulf, your data will be transferred to and handled in Vietnam for the purposes described in this policy.

6. Data retention

We keep visa application and booking records for as long as needed to deliver the service, meet our legal and accounting obligations, and handle any follow-up questions, after which we delete them. You can ask us to delete your data sooner, subject to any retention we’re legally required to keep.

7. Data security

We take reasonable technical and organizational measures to protect your information, including restricting access to visa application records to authorized staff only. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.

8. Your rights

You can ask us to access, correct, or delete the personal data we hold about you, or ask us questions about how it’s used, by contacting us at Uhibbuvietnam@gmail.com or via WhatsApp.

9. Cookies

Our site uses a small number of functional cookies, mainly to remember your selected language, and analytics cookies from Google Analytics, which help us understand how visitors use the site. We do not use advertising or remarketing cookies. If that changes, we’ll update this policy.

10. Children’s privacy

Our services are intended for adults arranging travel. We do not knowingly collect personal data from children. If a child’s information is required for a visa application, for example a minor traveling with family, it must be submitted by a parent or legal guardian.

11. Changes to this policy

We may update this policy from time to time to reflect changes in our services or legal requirements. The “last updated” date at the top will always show when it was last revised.
